2025 has been an amazing year for Mountain Biking in the Alberni Valley. The ROAV Board of directors has been hard at work creating new events, developing land use agreements, building new trails and restructuring governance to suit the needs of a growing club. All of this could not have been possible without the help of all our amazing volunteers.
With that we would like to welcome all our club members to this year's Annual General Meeting. The Board of Directors would like to notify its members of the following:
-2026 will be the last year the AGM will be held in January. Moving forward AGM’s will be held at the end of November, this will coincide with the Mountain Bike season and allow the board to better prepare for the following year's events.
-Several Board of Directors positions have come to the end of their terms and are up for election.
-ROAV Board of Directors passed a Board Resolution restructuring the President’s term. The club presidency will now be a 3 year commitment. Each year at the AGM starting for the 2026 year a new Vice President will be elected by the members who will serve: 1 year as Vice president, 1 year as President and 1 year as Past President. This will ensure there is continuity on the board in the short term but maintain a fresh outlook in the long term.
-The Board of Directors passed a Board Resolution appointing the current Vice President Hugh Fletcher as Interim President for 1 year (2026) then becoming Past President for 1 year (2027). This was done to ensure continuity and to allow the new 3 year Presidency tract to catch up.

Board of Directors Elections
This year we have 6 Board Director positions up for election and we are calling on all interested members to apply for nominations. The following positions are up for election:
Vice President - 3 Year Term
Secretary - 1 Year Term
Treasurer - 2 Year Term
Promotion Coordinator- 2 Year Term
Race and Events Administrator -2 Year Term
Sponsorship and Fundraising Coordinator- 2 Year Term
Director’s at Large - 1 Position available- 2 year term

Nominees Must:
a) be a Member who is sixteen years of age or older and in good standing,
b) be qualified to be a Director pursuant to section 44 of the Act,
c) not be an employee or contractor of the Association,
d) have been a Member of the Association at the time of notice of the AGM, and
e) consent to the nomination, in writing or in person.
The nomination window will be open from December 15, 2025 - January 12th 2026.
Nominations must be received in writing by replying to roav.secretary@gmail.com no later than January 12th. On one single paged document please reply with the following:
-full name
-position you are intending to run for
-photo of yourself
-paragraph describing yourself and why you would be right for the role (to the members)
Campaign Period - January 15th to AGM
Nominees will have their information sent to members and advertised on ROAV Social Media from January 15th until the AGM.
Voting:
Voting will take place at the AGM.
Voting Eligibility:
-Must be a ROAV Member in good standing as of the announcement of the AGM
-Must be 16 years or older
Results:
Results will be announced after voting at the AGM.
